How to setup Outlook desktop application - PC

This document will help you to set-up your Outlook desktop application on your company provided Windows (PC) computer. 

 

NOTE: Immediately following the Email Migration we are advising all staff to use the Outlook web application (outlook.office.com) to ensure you can send/receive and reference your emails with minimal operational impact. Due to the logistics of the company currently working from home, the IT Team will have limited ability to help you configure your Outlook desktop application in the immediate term. We provide these instructions to empower you configure the software yourself, if you prefer to use the Outlook desktop application. 


INTRODUCTORY INSTRUCTIONS 

Setting up the Outlook desktop application on your company provided Windows (PC) computer is different depending on whether you had previously used the Outlook desktop application or not. 

If you have previously used the Outlook desktop application on your computer: 

Your Outlook desktop application will already have a mail ‘profile’ on your computer. After your Email Migration, this profile will no longer work and you will need to create new profile in order for your new email to sync with your Outlook desktop application. To do this you need to complete the steps under the section ‘Previous Outlook Desktop Users: Create a New Default Mail Profile’ below. 

If you have only used the browser to access your email and never used the Outlook desktop application on your computer 

You may skip to the section ‘New Outlook Desktop Users: Add an email account to Outlook for PC’ and follow the much shorter set of steps. 

 

PREVIOUS OUTLOOK DESKTOP USERS: CREATE A NEW DEFAULT MAIL PROFILE 

On your company provided Windows computer: 

  1. Click the Start Button, and type Control Panel, a Best Match will appear, Click on Control Panel


  2. In the new window that opens, change the View By: to Large Icons, then find and Click on Mail (32 bit) – this may vary and say Mail (Microsoft Outlook 2016) in either case, it is the same location you are looking for.

  3. A new window will appear, Click on Show Profiles…



  4. A new window will appear, Click on Add…



  5. A new window will appear, Enter a Profile Name and Click OK



  6. A new window will appear, Enter the requested information: Your Name; Email Address; Password and Retype Password, then click on Next



  7. A new window will appear and if all information is correct, your account will be validated and you can Click on Finish


    Once it has finished, if you do not see three green check marks, select the < Back button to go back to the previous screen and confirm you have entered your Email Address and Password correctly. 

    If you see all three green check marks like the picture above then the configuration was successful and you can Click on Finish. 
     

  8. After clicking finish, you will return to the Mail window, you will then need to change your Default Profile; click on the drop down arrow and select the Profile you just created. Then Click on OK



  9. Launch Outlook to open and download your mailbox.



NEW OUTLOOK DESKTOP USERS: ADD AN EMAIL ACCOUNT TO OUTLOOK FOR PC

You can follow these steps to set-up the Outlook desktop application if you have never setup or used Outlook desktop on your computer before.

In your Outlook desktop application:

  1. Select FileAdd Account.

2. What you see next depends on your version of Outlook.

For Outlook for Microsoft 365 and Outlook 2016

Enter your email address and click Connect.

For Outlook 2013 and Outlook 2010

Enter your name, email address, and password, and click Next.

3. If prompted, enter your password again, then select OKFinish to start using your email account in Outlook.
